Roles and Access

In Unbord, a user does not have only one fixed role. They may be present in one learning path as a learner, create content in another path, and have responsibilities related to collaboration or tracking activities in a class. For this reason, your access does not depend only on your "user type"; it also depends on the environment you are in and the role you have in that environment.

What Does a Role Determine?

A role determines, in a learning path or class:

  • what actions you can perform;
  • what content or activities you can create or manage;
  • which people you can invite or track;
  • and what data you can see.

For example, someone who participates in a learning path as a learner has access to the path to use its content and complete activities. However, someone who collaborates on creating or managing that same path may, depending on the defined access, be able to manage content, members, or parts of the learning structure.

What Is the Difference Between a Role and a Subscription?

Roles and subscriptions are two separate concepts:

ConceptDeterminesExample
RoleWhat a person does in a learning path or class and what data they can seeLearner, path creator, or content creation collaborator
SubscriptionWhat features, capabilities, or capacities are enabled for the accountAccess to a tool or content creation capacity

A person may be allowed to create content in a learning path based on their role, while their content creation capabilities or capacity may depend on their active account subscription. For more information about account capabilities, see the "Subscriptions and Access" article.

Where Is Access Defined?

Access in Unbord is understood based on the environment in which you are working:

Independent Content

Independent content, such as a wiki, flashcard, or quiz, is content that is created or used outside of a learning path. In this space, each user can create and manage content according to the capabilities enabled for their account. The details of each tool are explained in its respective guide.

Learning Path

A learning path is where multiple activities are brought together around a learning goal. In a path, roles determine who can change the path structure, add content, add resources, create assignments, or add other people for collaboration or learning. A person may be only a learner in one path and a creator or content creation collaborator in another. Their access is assessed separately in each path.

Class

A class is a space where people are brought together in connection with a learning path. Depending on your role, you may be able to join a class, invite members, view the overall class status, or collaborate on content creation and delivering education. Access to a class does not mean unlimited access to all path data; each role only sees the data and activities within its scope.

Reports

Access to reports follows the same principle. Each person only sees reports related to themselves, classes, paths, or the scope they have been authorized to access. Therefore, viewing a report does not mean having access to all information about all users.

The Principle of Access Scope

In Unbord, access to data should correspond to a person's responsibilities. For example:

  • A learner typically sees their own information and progress.
  • A creator or person responsible for a path has access to parts of the path and the people within their area of responsibility.
  • A content creation collaborator works only within the level of access defined for their collaboration.
  • A person assigned to receive reports only sees reports related to their authorized scope.

This principle makes collaboration in education possible without giving everyone access to all data and users.

Specialized Roles

Some roles are defined for collaboration or receiving reports within a specific scope. For example, the class owner role is related to collaborating in a class and accessing reports within that scope. Details about these roles, including permitted actions, visible data, and limitations, are explained in the "Class Owner Role" article.

What Should I Do If I Don't Have the Access I Need?

If you cannot see an option, content, class, or report, one of the following may be the reason:

  • Your role in that path or class does not allow you to perform that action.
  • You do not have access to the relevant path or class.
  • The requested feature is not included in your active account subscription.
  • The content or resource has not yet been published or prepared for use.

In these situations, first check which environment you are in and what role you have in that environment. If the issue is related to account access or subscription, see the "Subscriptions and Access" guide.
